Health and Safety Policies and Procedures

As of March 1st, in keeping with Contra Costa County’s updated regulations, Pillar Cowork will no longer require masks to be worn inside of our establishment for members and guests who are fully vaccinated. Individuals should share an image of his/her Covid-19 vaccination cards (physical or digital) with Pillar staff in order to comply with this policy update.

In accordance with Contra Costa County’s latest health order and the Center for Disease Control (CDC) recommendations, we are making the following updates to our current Health & Safety Policy:
- Stay home if you’ve traveled by air: Based on the CDC’s guidelines we are asking members who have traveled by air to:
- Get tested 3-5 days after your trip AND stay home for 7 days. Even if you test negative, stay home for the full 7 days.
- If you don’t get tested, stay home for 14 days.
- Daily sign-in procedures: We are adding a daily sign-in protocol that confirms each member or guest has not (1) had any COVID symptoms or (2) been in the presence of anyone who is COVID positive in the past 14 days.
- Sanitize upon arrival: As a part of the daily check-in we are asking members and guests to sanitize or wash his/her hands upon arrival. Daily temperature checks will also continue.
In light of the COVID pandemic we are invested now more than ever in the health and safety of our staff, members and guests at Pillar Cowork and Pillar Kids space. Understanding the fluidity of the situation, we are closely following the guidelines and requirements set forth by the California Department of Public Health (CDPH), as well as the county and local governments.
We are taking a phased approach that will include progressively less restrictive steps overtime, based on internal factors — such as member behavior — and external factors — such as updated guidance from public health officials. Our current health and safety plan includes:
Space Modifications
We have made the following infrastructure changes at Pillar to allow for proper spacing of all workstations, common areas and facilities. These changes include:
- Reduced seating capacity in all shared spaces, meeting rooms and cafe areas to allow for proper social distancing.
- Addition of private offices and workspace options to provide increased isolation.
- Signage placed throughout the space to remind members and guests of our health and safety procedures and effective hygiene, hand washing and social distancing practices.
Health and Safety Guidelines
The following guidelines are in place at Pillar and are a combination of actionable items by Pillar staff and our guests. We ask that anyone who chooses to use our space implement and abide by the following to help keep us all safe.
Social Distancing and Spacing
- Maintain social distancing, at least 6′ apart at all times
- Adhering to a one-way traffic flow to assist with spacing while avoiding cross-contact.
- We will provide movable health shields, upon request, to members in the open seating areas.
Personal Hygiene for Staff, Members, and Guests
- Wear face masks in common areas.
- Wash your hands frequently and properly with warm water and soap for at least 20 second. A guide can be found here.
- Use tissue, or your arm or sleeve to catch your cough or sneeze.
- Please dispose of tissues immediately and wash hands or use sanitizer any time you have used tissues.
- Refrain from touching your eyes, nose or mouth. If you do, please wash your hands afterwards.
- Sanitize your personal work surfaces before and after each workday.
If You Are Sick
For the safety of our coworkers and community, we are asking members who are displaying even mild flu-like symptoms, including fever, cough and cold to PLEASE STAY HOME.
Please notify our staff if you are diagnosed with COVID-19 and have used our space in the past 30 days. We will communicate immediately to implement closures and further cleaning protocols if we are notified that any person that has used our space recently is diagnosed with COVID-19.
If You Travel
Refer to the Centers for Disease Control (CDC) considerations for Domestic travel and protocol for International travel. We ask all Pillar staff, members, and guests to abide by these regulations.
Behavior Changes
Change is HARD, but we all have to make adjustments at this time to ensure each other’s safety. At Pillar we’re changing our ways to help beat COVID-19.
Circulation Throughout The Space
- Floor stickers and guiding markers provide visual cues throughout the space to prompt a one-way flow of traffic and reduce face-to-face contact for members and guests.
- Pillar’s team will manage the flow of occupancy and direct members and guests to different workspaces as needed to maintain social distancing.
- We ask hot desk members to work at the same station throughout the day and to wipe down their desktop and surfaces at the end of the day.
Cleaning and Sanitation
- Cleaning / disinfection of shared meeting rooms and workspaces after each use.
- Use of self-cleaning, NanoSeptic wraps on door handles and commonly used services.
- Asking our staff, members and guests to sanitize common surfaces and shared equipment prior and after use.
Food and Beverage
- For the time being we are suspending our coffee service, vending options, and use of shared dishware. Single use items may still be served as available in the kitchen and we apologize for any inconvenience this limited service may have.
- We will sanitize the kitchen area regularly throughout the day, including the refrigerator, kitchen sink, and microwave.
- Handwashing and sanitizing prior / after handling food or drink is a “must do” for all.
Frequently Asked Questions (FAQs)
Can I still have guests in the space?
Yes, given that both you and your guest gets a quick temperature check on the way in, as well as verbally affirm that you haven’t shown any of the symptoms associated with COVID-19, such as fever, cough, shortness of breath or difficulty breathing, as advised by the CDC.
Do I have to wear a mask?
Masks are required for entry and must be worn in common areas. Once seated at a safe, minimum 6’ distance, members and guests may remove their mask.
Who has to get their temperature taken?
Upon initial visit to Pillar, everyone who enters the space will be screened—whether you are a member, guest of a member, or meeting room attendee. This process is super simple, with a quick screening that will indicate an “all clear” or “no entry”.
Can I hold a meeting at Pillar?
Yes, our conference room and multi-purpose space are both large enough to accommodate group meetings with reduced capacities and still allow for safe distancing. All guests of the meeting will be required to adhere to our “Entry Policies” listed above.
What if I need a workspace for just a day or a week?
No problem. As long as you’re willing to undergo a quick screening and comply with our health and safety policies, we have plenty of flexible options, including day rates. Learn more about our offerings here.
What safety measures can I expect in the semi-private and shared workspace?
We have de-densified our common areas and workspaces to ensure proper distancing. Also upon request we will provide partitions to help members and guests feel more comfortable in the shared workspace. You will also notice use of NanoSeptic self-cleaning wraps on frequently-used surfaces, and sanitizing stations available throughout the space.
